Power Automate handles flows that live inside Microsoft 365 well. When the process crosses the ERP, needs auditable approvals, a case file with documents, electronic signature or regulatory compliance, Dokuflex is the Power Automate alternative: low-code BPM with BPMN 2.0, AI agents, more than 200 native connectors, flat per-user pricing and EU-hosted data. And it keeps talking to your Microsoft 365.
Dokuflex is a Power Automate alternative for companies that need processes, not just flows: a low-code BPM platform with AI that models traceable approvals in BPMN 2.0, groups documents and tasks into case files, signs with eIDAS validity, complies with Spain's VERI*FACTU and connects natively to SAP, Sage, Holded, A3 and Microsoft 365, with flat per-user pricing, SLA in EU business hours and EU-hosted data.
Power Automate is Microsoft's automation tool for the Microsoft 365 ecosystem: triggers and actions on Outlook, SharePoint, Teams, Excel, Forms and Dataverse, with a licence many SMEs already have. For a company whose daily work lives in Microsoft 365, it is the natural route to automate notifications, file copies, quick approvals in Teams and small integrations between the suite's applications.
It falls short when the flow stops being a flow and becomes a business process: a supplier invoice that goes through three approvers with deadlines and escalations, a contracting file with documents, signature and evidence, a request that crosses the ERP, the CRM and payroll, or any circuit that an audit (internal, ENS, ISO or tax) may ask you to reconstruct step by step. Four frictions appear there: the flow model is proprietary (no BPMN), approvals leave no case file with documents and evidence, the connectors to Spanish ERPs are generic and cost grows per premium user, per bot or per connector as the process gets more complex.
Dokuflex is an ERP and CRM integration platform without coding joined to the same low-code BPM software with AI: the process is designed in BPMN 2.0, people approve from their inbox or from Microsoft Teams, documents live in a case file and every step is audited. And it does not force you to abandon Microsoft 365: SharePoint, Outlook, Excel and Power Automate itself connect via Microsoft Graph with single sign-on through Entra ID.
Qualitative comparison focused on SMEs and mid-sized companies in Spain running Microsoft 365, with back-office processes, ERP integration and regulatory obligations.

Microsoft, Power Automate, Microsoft 365, Teams, SharePoint and Entra ID are trademarks of Microsoft Corporation. Power Automate prices per the microsoft.com pricing page (Spain) consulted on 19 October 2026; Microsoft states they are indicative prices that may vary by country, currency or organisation. The comparison with Zapier, Make and n8n is on the integrations page.
According to microsoft.com as of October 2026, Power Automate is licensed in three ways: Premium, €13 per user per month, for those who design and run flows with premium connectors; Process, €130 per bot per month, for unattended flows not tied to a person; and Hosted Process, €186.30 per bot per month, with the virtual machine included. All three are billed annually and exclude VAT. In addition, standard flows are included in many Microsoft 365 licences, which is what makes an SME start using Power Automate almost without noticing.
The problem appears when the process grows: every person who must approve through a premium connector needs their licence, every unattended flow becomes a bot and every system outside Microsoft 365 (the ERP, the signature, the tax agency) is one more connector, sometimes paid and sometimes custom-built. The cost per process stops being predictable and, above all, stops being comparable across departments.
In Dokuflex the cost is a flat per-user rate: the Starter plan starts at €25 per user per month with an annual subscription and includes low-code BPM, forms, workflows and simple electronic signature; the Business and Enterprise plans add SAP, ERP and CRM integrations, AI agents and the SLA, and are quoted by users, modules and integrations. There is no cost per bot, per premium flow or per connector. You can review the Dokuflex plans and pricing and start with a free 14-day trial environment, no credit card required.
A Power Automate approval works well for a yes or no in Teams. A business process asks for more: who must approve depending on amount or department, what happens if they do not reply within 48 hours, how an exception is escalated, which documents accompany the decision and how all of that is proven a year later. In Dokuflex, the approval is a human task of the BPMN 2.0 process with an owner, a deadline and escalation, and the owner can reply from Microsoft Teams or Slack without leaving their tool.
The documents of the case (the invoice, the contract, the delivery note, the signature evidence) live in a case file, not scattered across SharePoint folders linked from the flow. When the process needs a signature, eIDAS electronic signature is native; when the circuit is a tax one, Spanish AEAT-certified digitisation and VERI*FACTU submission are handled by Doku4Invoices. We detail it in cross-system workflows with human approvals.
And the process is not tied to a platform: BPMN 2.0 is an OMG standard that any analyst understands and that can be exported as a model. It is the foundation of the same low-code BPM platform for SMEs and mid-market used to design cross-department processes without IT help. If you want to sort out the map first (workflow, BPM, iPaaS, RPA), the workflow automation guide explains it in detail.
In Dokuflex, AI agents work inside the BPMN process: they read documents with OCR, query your information with RAG and propose the decision, and a person validates it when a confidence threshold is crossed or it is an exception (human-in-the-loop). Every decision is traced; we explain it in governed AI agents for BPM.
Five reasons that keep coming up when a company running Power Automate moves to a governed process.
A Power Automate flow only exists in Power Automate. A BPMN 2.0 process is a standard your process analyst understands, that documents itself and that you can export if you change platform tomorrow.
Documents, approval evidence, native eIDAS signature and Spanish AEAT-certified digitisation with VERI*FACTU submission, without orchestrating external providers or premium connectors.
Sage 50, Sage 200, Sage X3, Holded, A3 by Wolters Kluwer and Meta4, plus SAP and Dynamics 365. What Power Automate requires generic HTTP or a custom-built connector for, in Dokuflex is native and maintained by product.
No premium licences per approver, no bots per unattended flow, no paid connectors. The budget per process is the same in January as in December, and comparable across departments.
For regulated sectors (banking, healthcare, public sector, energy) Dokuflex operates aligned with Spain's ENS Medium (certification in progress) and ISO 27001, with EU-hosted data, audit logging and documented incident management.
SharePoint, Outlook, Excel and Power Automate connect via Microsoft Graph with Entra ID SSO, and approvals are answered from Teams. You do not choose between Microsoft 365 and Dokuflex: you combine them.
If you are still comparing iPaaS tools with each other, read our Make vs Zapier vs n8n vs Power Automate comparison first. If your flows start and end in Microsoft 365 (a Forms form that creates a row in Excel, an email that notifies in Teams, a file copied to SharePoint, a quick holiday approval), Power Automate with the licence you already have is the reasonable option. It is its home turf, the learning curve is minimal and there is nothing to migrate.
If, on top of that, nobody needs to reconstruct in an audit who approved what and when, there is no ERP involved, there is no signature or case file and volume is low, deploying Dokuflex would be over-engineering. Come back when the flow becomes a process: three approvers with deadlines, documents that must accompany the decision, a system outside Microsoft 365 or a regulatory requirement.
Is your current tool Zapier or Make rather than Power Automate? The logic is the same: see the Zapier alternative and the Make (Integromat) alternative.
A scoped pilot to validate the migration on 5-10 real flows before retiring them. The flows that should stay in Power Automate, stay.
Active flows in Power Automate: triggers, actions, approvals, premium connectors and bots. We identify the 5-10 that are already business processes.
Each flow is modelled as a BPMN 2.0 process: human tasks with owner and deadline, gateways, case file, business rules and error handling.
Deployment in a test environment with the Microsoft 365 connectors via Graph and the ERP or CRM ones reconnected to the native connector. Parallel execution and comparison of results.
Controlled cutover: deactivation of the migrated flows, SLA activation and migration plan for the remaining processes by priority.
For flows that live inside Microsoft 365 (an email that creates a task, a quick approval in Teams, a file copied to SharePoint), Power Automate is convenient and you probably already have it licensed. Dokuflex comes in when the flow crosses ERP, CRM and payroll, needs traceable human approvals modelled in BPMN 2.0, case files with documents and electronic signature, a contractual SLA and EU-hosted data with flat pricing. It does not replace Microsoft 365: it integrates with it.
According to microsoft.com as of October 2026, Power Automate Premium costs €13 per user per month, Power Automate Process €130 per bot per month and Hosted Process €186.30 per bot per month, billed annually and excluding VAT; standard flows are included in many Microsoft 365 licences. Dokuflex's Starter plan starts at €25 per user per month with an annual subscription and includes low-code BPM, forms, workflows and simple electronic signature; SAP, ERP and CRM integrations belong to the Business and Enterprise plans, quoted by users, modules and integrations. The difference is not only the per-user price: in Dokuflex there is no extra cost per bot, per premium flow or per connector.
Yes. Dokuflex integrates with SharePoint, Outlook, Excel and Power Automate through Microsoft Graph, with single sign-on via Entra ID, and the approvals of a process can be answered from Microsoft Teams. The usual setup is that Power Automate keeps covering personal and team automations, while Dokuflex orchestrates the business processes that need traceability, case files and ERP connectors.
A Power Automate flow is a sequence of trigger and actions in Microsoft's own model, designed to move data between applications. A BPMN 2.0 process is an OMG standard that models human tasks, gateways, subprocesses, deadlines and exceptions, and that any process analyst understands and can export. In Dokuflex, every human task has an inbox, an owner, a deadline and an audit log, the documents of the case live in a case file and the model is not tied to a platform.
Yes. eIDAS electronic signature (biometric, OTP, certificate and qualified) is native to the platform, and Spanish AEAT-certified digitisation and VERI*FACTU submission are handled by Doku4Invoices, Dokuflex's AEAT-approved module. In Power Automate, those pieces require orchestrating external providers with their own licences and premium connectors.
Data is hosted in data centres in the European Union in accordance with the GDPR, with encryption in transit and at rest, tenant segregation and audit logging. Dokuflex operates aligned with Spain's National Security Framework (ENS) Medium category, with formal certification in progress, and with ISO/IEC 27001 controls. Specific documentation is delivered under NDA during the commercial process.
With a scoped 2-week pilot on 5-10 real flows: the Power Automate flows are inventoried, each one is modelled as a BPMN 2.0 process in Dokuflex, the Microsoft 365 connectors are kept via Microsoft Graph and the ERP or CRM ones are reconnected to the equivalent native connector. The pilot runs in parallel before retiring the flows; the rest is migrated in phases by priority.
When the flows start and end in Microsoft 365, do not require a case file or a signature, do not cross the ERP and nobody needs to prove in an audit who approved what and when. In that scenario, Power Automate with the licence you already have is the reasonable option and deploying Dokuflex would be over-engineering.
