Best document management software for companies in Spain (2026)

There is no universal «best document management software». There is the best one for your company profile: what has to happen to the document after it is archived, which regulations apply to you (ENS, ISO 27001, VERI*FACTU, eIDAS), where the data must reside and how much you are willing to pay per user. This guide compares eight platforms —DocuWare, M-Files, OpenText, Alfresco (Hyland), SharePoint, Athento, Docuo and Dokuflex— and says openly who each one is best for.

Honesty notice: Dokuflex is our product. We win when the document is part of a process (approval, eIDAS signature, VERI*FACTU, case file) and Spanish compliance with public pricing matters. We lose elsewhere: we do not hold an issued ENS certificate (we are aligned with ENS Medium, certification in progress), we are not open source and we do not have the global ecosystem of DocuWare or OpenText. We say it plainly.

How to choose: a decision map by company profile

Before looking at features, place yourself. Document management evaluations almost always go wrong by choosing by brand or analyst quadrant rather than by what the organisation needs to do with its documents. These are the six profiles that come up most often in the Spanish market.

Profile 1

Large corporation with SAP and a multi-country footprint

Thousands of users, documents that live inside SAP S/4HANA or SuccessFactors, compliance requirements in several jurisdictions and an IT department running the project. Your ground is enterprise ECM.

Profile 2

Technical team that wants open source and full control

Developers who prefer to deploy, extend via API and not depend on a per-user licence. They take on maintenance in exchange for freedom.

Profile 3

Microsoft-centric organisation

Your stack is Microsoft 365 end to end (Teams, Outlook, SharePoint, Copilot) and you want the document management system to live inside that ecosystem without leaving it.

Profile 4

SME buying by use case

You need to solve contracts, invoices or quotes with a ready-to-use app, per-module pricing and an immediate start. You do not want a project, you want a program.

Profile 5

Public administration or supplier that tenders and requires an ENS certificate today

The tender specification asks for an ENS certification issued by an accredited body, not «alignment». The certificate, its category and its scope matter more than any other feature.

Profile 6

SME or mid-market company where the document is part of a process

Invoices that get approved and sent to VERI*FACTU, contracts signed under eIDAS, HR case files with deadlines. You want document management, workflow, signature and compliance in one platform, with EU-hosted data, support in Spanish and public pricing.

Each profile has a different winner. In the verdicts section we match each profile with the tool that fits it best. Honest spoiler: only profile 6 points clearly to Dokuflex, and in profile 5 others win today.

Selection criteria

What we evaluated (and what we did not)

We use the nine criteria that come up again and again in document management software evaluations in Spain. Justified qualitative judgements, not made-up scores. Where the vendor does not publish the data, we write «n/a»; where it does not publish a price, «on request».

ENS and ISO 27001

Whether the website publishes ISO 27001 certification and, for the public sector or tenders, ENS certification with its category. ISO 27001 or SOC 2 do not replace the ENS (Esquema Nacional de Seguridad, Spain's national security framework).

EU data and deployment

Where documents are hosted (guaranteed EU, selectable regions or residency as a paid add-on) and whether on-premise exists for data-sovereignty policies.

OCR and IDP with AI

Whether capture classifies and extracts data without templates or training (IDP with generative AI) and whether search understands natural language, or whether OCR is just text indexing.

Version control

Every serious DMS versions; the useful question is whether the new version of a procedure or contract can go through review and signature before publication, and whether the history shows who changed what.

eIDAS signature

Whether electronic signature is native and of which type (simple, advanced, qualified, biometric) or whether it is solved by integrating DocuSign, Adobe Sign or another provider with a separate licence.

ERP integration

Published connectors with SAP, Microsoft 365 or the ERPs common among Spanish SMEs (Sage, Holded, A3), plus a REST API for the rest.

VERI*FACTU

Whether the system covers the AEAT's verifiable invoicing (mandatory in Spain from 2027) or whether invoices will have to leave for another system to comply.

Price per user

Whether pricing is public and per user, per module or only after a sales demo. We only quote amounts the vendor publishes on its website.

Implementation and migration

How long the first real repository takes to go into production, whether migration from network folders or SharePoint is included and whether there is a free trial before deciding.

Competitor information comes from their official websites consulted in October 2026 (start.docuware.com, m-files.com, opentext.com, hyland.com, athento.com, r2docuo.com). On that date we could not verify SharePoint pricing on microsoft.com or the details of DocuWare's electronic signature, and we say so. For any correction, write to hola@dokuflex.com and we will update it.

Honest verdicts

Which document management software to choose by profile

We do not always win here, and that is fine. Each profile has a different winner. We only recommend Dokuflex where it really is the best option.

Large corporation with SAP and a multi-country footprint → OpenText or DocuWare

OpenText publishes integrations with SAP S/4HANA and SuccessFactors, Microsoft 365 in every edition, off-cloud, private-cloud or managed deployment, and a list of certifications (FedRAMP, SOC 2, DoD 5015.2) designed for corporate due diligence. Its AI (Content Aviator) is sold as an add-on and pricing is custom. DocuWare, a «Challenger» in the 2026 Gartner Magic Quadrant for document management according to its website, brings GenAI IDP, SAP integration and a partner network in six languages, also without public pricing. If you fit this profile, the implementation cost is taken for granted.

Technical team that wants open source and full control → Alfresco (Hyland)

Alfresco is defined on Hyland's website as «Open Source Content, Process & Governance Management», cloud-native, built on open standards and APIs, with integrated content and process services. If your engineering team wants to deploy, extend and maintain it, it is the natural choice. The honest trade-off: the website publishes no pricing for the commercial edition, it is not localised in Spanish and Spanish compliance (ENS, VERI*FACTU, eIDAS signature) is on you.

Microsoft-centric organisation → SharePoint or M-Files

If you already pay for Microsoft 365 and what you need is an intranet and a shared library, SharePoint is the answer with no visible extra cost (we could not verify its per-user pricing on microsoft.com on the date consulted). If you want a document management system «designed for Microsoft environments» that works in Teams, SharePoint, Outlook and Copilot with a metadata model instead of folders, M-Files describes itself that way on its Spanish website, with an Essentials edition at €65 per seat per month, Aino AI and signature via Adobe Sign, DocuSign or Visma Sign. Neither declares ENS or VERI*FACTU on the pages consulted.

SME buying by use case → Docuo

Docuo (r2docuo.com) sells apps per module —contracts, invoices with Verifactu, «ready-to-sign» quotes— «from €12/month», with ISO 27001 and an ENS certificate linked from its website and support in Spanish. For an SME that wants a specific program rather than a platform, it is an honest and inexpensive option. What we did not find on its website: on-premise deployment, ERP integrations or details on the signature type; if your process spans several departments or needs BPM, it falls short.

Public administration or tender requiring an issued ENS certificate today → Athento

Here we lose and we say so: Athento, headquartered in Málaga, publishes ENS certification, ISO 27001, 27017, 27018 and SOC 2, public pricing from €12.99/user/month plus a base fee, IDP with AI and RAG, visual workflows and on-premise plans. If the tender requires the ENS certificate already issued and does not accept «alignment with certification in progress», Athento (or Docuo) meets that requirement today and Dokuflex does not. Always ask for the certificate's category and scope: Athento's website does not state the category on the pages consulted.

SME or mid-market company where the document is part of a process → Dokuflex

Here, yes: if your invoices get approved and go to VERI*FACTU, your contracts are signed under eIDAS (biometric, OTP, certificate or qualified), your case files have owners and deadlines and you want all of that to live in the same platform as the document management system, Dokuflex is the most balanced option. Template-free OCR and IDP, natural-language search, version control with review and signature, connectors to Sage, Holded, A3 and Meta4, EU-hosted data or on-premise, migration from network folders or SharePoint included within a week, support in Spanish and a Starter plan from €25/user/month. We are not open source, we do not have DocuWare's global network or the issued ENS certificate that Athento or Docuo do have (we are aligned with ENS Medium, in progress): we are the low-code BPM platform that includes document management, not the other way round.

What goes wrong

4 typical mistakes when choosing document management software

Document management projects rarely fail because of the technology; they fail because the fit was chosen wrongly or what was missing was discovered too late.

1. Buying an archive when you needed a process

Migrating network folders into a nice repository changes nothing if invoices are still approved by email and contracts still signed on paper. Before choosing, list what has to happen to each document type after it is archived.

2. Confusing ISO 27001 or SOC 2 with the ENS

They are different frameworks. A Spanish public tender asks for ENS certification with category and scope, issued by an accredited body. Demand the certificate in writing and check the CCN-CERT register; «aligned» (as Dokuflex is today) is not «certified».

3. Looking at the per-user price and forgetting modules and migration

Base fees, storage packs, third-party signature, IDP as an add-on and migration billed as a separate project weigh more than the licence. Compare the three-year total cost with your real volumes, not the headline price.

4. Not asking where the data is

«In the cloud» does not say in which region. If you process health data, public records or financial information, require the EU location and the absence of transfers outside the EEA by contract, or an on-premise deployment.

Frequently asked questions

What is the best document management software for SMEs in Spain?

It depends on what has to happen to the document after it is archived. If you only need to store, search and share, a per-module tool such as Docuo (from €12/month per module according to its website) or SharePoint within Microsoft 365 may be enough. If the document has to go through approval, eIDAS signature, VERI*FACTU invoicing or a case file with deadlines, the sensible choice is a document management system with built-in BPM such as Dokuflex: Starter plan from €25/user/month, migration from network folders or SharePoint included within a week, EU-hosted data and support in Spanish. If the tender requires an already issued ENS certification, Athento and Docuo publish it on their websites; Dokuflex is aligned with ENS Medium with certification in progress.

How much does document management software cost in Spain?

Of the eight analysed, only four publish amounts on their websites as of October 2026: Athento (from €12.99/user/month plus a monthly base fee), Docuo (modules from €12/month), M-Files (Essentials edition at €65 per seat per month; Enterprise custom) and Dokuflex (Starter from €25/user/month with annual billing; Business and Enterprise by users and modules). DocuWare, OpenText and Alfresco (Hyland) do not publish prices and work with demo and quote. The per-user price is only part of it: add migration, implementation, the modules you need (signature, IDP, VERI*FACTU) and three years of support to compare the total cost.

Which document management software complies with Spain's ENS?

According to their websites as of October 2026, Athento and Docuo display an ENS certification (without stating the category on the pages consulted). Dokuflex operates aligned with the ENS Medium category and has its formal certification in progress, and says so in its technical specification. DocuWare, M-Files, OpenText, Alfresco and SharePoint do not declare ENS on the pages consulted; some publish ISO 27001 or SOC 2, which do not replace the ENS. For a public tender, always ask for the certificate with its category, scope and accredited body, and check the CCN-CERT register.

Document management in the cloud or on-premise?

The cloud is the default option in 2026 for most companies: continuous updates, managed SLA and no servers of your own. What matters is where the data is: DocuWare Cloud runs on Microsoft Azure with data centres in the US, EU, Japan and Australia; M-Files offers data residency as an add-on; Dokuflex hosts in European Union data centres. On-premise still makes sense in healthcare, public administration, energy or banking when the data-sovereignty policy requires it: DocuWare (hybrid), M-Files (self-hosted), OpenText (off-cloud and private cloud), Athento and Dokuflex (Business and Enterprise plans) offer it with the same functionality as in the cloud.

Is SharePoint enough as a document management system?

As a shared library and intranet, yes, and if you already pay for Microsoft 365 it has no visible extra cost. It falls short when what you manage are case files: OCR reading and template-free IDP classification, search by meaning, legal retention with evidential value, eIDAS signature and traceable approval workflows usually require add-ons or development. The usual approach is to keep SharePoint for the intranet and migrate the libraries that are really case files to a document management system with workflow; Dokuflex includes that standard migration in onboarding.

What is the difference between a document management system and a BPM with document management?

A document management system (DMS or ECM) organises, protects and finds documents; its workflow is usually limited to routing documents between people. A low-code BPM with built-in document management, such as Dokuflex, puts the document inside a complete process: request form, approval rules by amount or cost centre, eIDAS signature, ERP integration, archiving with timestamp and per-step time indicators. DocuWare, M-Files or OpenText also automate document workflows; the difference is whether the process engine is a document module or a horizontal BPM platform that also includes the DMS.

Which document management system complies with VERI*FACTU?

VERI*FACTU is the verifiable invoicing system of the AEAT (Spain's tax agency), expected to become mandatory in 2027 for companies, self-employed workers and SMEs in Spain. Among the eight analysed, Docuo cites it in its invoices module and Dokuflex includes it as a module of the same platform (issued invoices with chained hash, XAdES signature and tax QR code, legal archiving for 10 years). DocuWare displays the Agencia Tributaria logo on its Spanish website without detailing VERI*FACTU on the pages consulted. M-Files, OpenText, Alfresco, SharePoint and Athento do not mention it: it is a local requirement that international suites usually cover through third parties.

Can I migrate from DocuWare, Alfresco or SharePoint to another document management system?

Yes. Documents and their metadata can be exported from any DMS; what does not migrate automatically are the workflows, indexing templates and complex permissions, which have to be rebuilt. Dokuflex includes in onboarding the standard migration from network folders, SharePoint, Drive, Dropbox, Alfresco and other DMS, usually in under a week, with a document-by-document reconciliation report; repositories with custom metadata are assessed under a fixed-price quote. Documents signed with XAdES or PAdES keep their validity whatever the destination system.

Does your profile fit Dokuflex?

If your documents are part of a process (approval, signature, VERI*FACTU, case file) and Spanish compliance with public pricing weighs on your decision, we will prove it by migrating a real batch of your documents. And if your profile fits another tool better, we will tell you that too.
