The challenge

Mutua Terrassa started with a focused project: on-call scheduling for 180 physicians, handled in Excel and emails. After solving it, the hospital faced a growing catalog of operational and administrative processes (personnel records, expenses, signatures, internal requests, clinical approvals) scattered across spreadsheets, email threads and isolated applications, with no traceability and no connection to the corporate ERP or HR platform.

The solution

Dokuflex became the hospital's BPM platform. The low-code engine allowed new processes to be added without custom development: today the hospital runs more than 250 different flows with over 2,000 active users across clinical staff, administration, finance and HR.

The expense management module captures receipts and invoices with AI (OCR + automatic extraction of merchant, date, amount and VAT), validates them against cost-center policies and generates the SEPA reimbursement and the accounting entry directly in the ERP.

The bidirectional ERP integration syncs cost centers, suppliers and budget lines, and the HR software connection keeps hires, terminations, org chart, specialties and vacation balances aligned in real time across both systems.
