Why Excel falls short

5 problems Excel doesn't solve for vacation tracking

An Excel vacation tracker starts as a simple sheet and, with each new hire and collective-agreement change, turns into a fragile tab only one person understands. These are the five things a spreadsheet cannot cover and that demand a proper Excel vacation tracker alternative built for HR.

1. Invisible overlaps

Two people on the same team request the same August week and the spreadsheet says nothing: you only find out when coverage breaks. A PTO app cross-checks balances, calendars and minimum-team rules in real time.

2. No automated notifications

The employee sends an email, the manager finds out late, HR logs it when they can. A vacation tracking software fires alerts at every step (request, approval, reminder) without anyone having to remember.

3. No automated balances by tenure or collective agreement

Every collective bargaining agreement (offices, metal, retail, healthcare) has its own tenure rules, extra days and pro-rata for mid-year hires. Keeping those formulas in Excel is manual and error-prone.

4. Not GDPR-compliant (visible reasons)

An Excel file shared by email exposes names, ID numbers and sensitive reasons (hospitalisation, bereavement) to people who shouldn't see them. Regulation (EU) 2016/679 requires role-based access and access logging: an app provides this by default, Excel does not.

5. No 4-year legal history

The Spanish Labour Inspectorate can request an absence log covering the last four fiscal years. If one version of the spreadsheet is lost, so is that history. A PTO app stores every request with timestamp, author and reason.

Bonus. No mobile app

A sales rep on the road or a site technician will not open Excel on their phone. If your workforce is off-premise, the spreadsheet becomes a bottleneck: either the middle manager handles it, or it never gets handled.

Head to head

Comparison: Excel vs Dokuflex

Excel is still useful for many things, but vacation tracking for a growing company needs different capabilities. This table compares the eight key functions that separate a spreadsheet from a proper PTO app.

Capability Excel Dokuflex
Request Free-form email + manual sheet edit 30-second mobile form with live balance
Approval Reply to the email; no audit trail Multi-step (manager, HR, leadership) with full audit
Balance Manual formulas that break when rows are copied Automated by agreement, tenure and pro-rata hires
Team calendar Annual sheet coloured by hand Shared view by team / site / collective agreement
Notifications None Push, email and automated reminders
Legal history Tied to file versions; easy to lose 4 years retained, exportable for inspection
GDPR No role-based access control EU data, encryption, roles, access logs
Mobile app Not usable Mobile web + Android + iOS, no install required

Guided migration

How to migrate your Excel to Dokuflex in 5 steps

Most SMEs move from spreadsheet to app in a single working day. No custom development, no long project: download, map, import, review and go live.

STEP 1
Download the CSV template

A sheet with the minimum columns: employee, ID, email, hire date, collective agreement, opening balance and pending days.

STEP 2
Map your fields

If your Excel uses different labels (e.g. "Full name" instead of "employee"), the wizard asks for the equivalence once.

STEP 3
Import employees, balances and policies

Upload the CSV. Dokuflex creates the records, assigns the policy by collective agreement and computes tenure days automatically.

STEP 4
Review

Per-employee preview: total days, taken, pending and applied rules. Adjust edge cases in bulk.

STEP 5
Go live

Invite employees by email. The first request is approved from mobile in under a minute. Excel archived.

Multi-site and multi-agreement

What if I have several collective agreements or departments?

This is one of the reasons the spreadsheet ends up duplicated: one tab per agreement, another per site, another per department. In Dokuflex you define policies by team, site or collective bargaining agreement (convenio colectivo) without code and without custom development.

Every employee inherits the right policy, with base days, tenure rules, local public holidays and minimum-team requirements. If the metal-sector agreement changes, you update the policy once and every affected employee is up to date.

Active policies (example)
HQ offices — Madrid
Offices and admin agreement · 23 base days
42 employees
Plant — Barcelona
Metal agreement Catalonia · 25 days + tenure
38 employees
Retail — Andalusia
Retail agreement · 22 days + local holidays
21 employees
Real-world pattern

How customers migrate from Excel to Dokuflex in 1 week

Professional services, retail and industrial companies with 25-200 employees complete the migration in five working days. The pattern repeats across customers.

Monday and Tuesday
Clean up the current Excel

HR downloads the Dokuflex CSV template, copies the data from the master spreadsheet and reviews duplicates and stale leavers. On average, 5-10% of records turn out to be obsolete.

Wednesday
Import and policy mapping

CSV upload, assignment of policies by agreement and site, balance validation. Onboarding runs a 60-minute session. The first test flow is approved.

Thursday
Internal comms and pilot

HR sends the quick guide to managers and employees, runs pilots on 2-3 small teams and collects feedback. Template messages and approver chains are tuned.

Friday
Go-live, Excel read-only

From the following Monday, all requests go through Dokuflex. The spreadsheet is archived as read-only history and the team stops touching it.

The hidden cost of Excel

ROI: cost vs the hidden cost of Excel

"Excel is free" is the first objection. But the real cost is not in the Office licence: it's in HR time reconciling balances, in errors discovered at year-end, in GDPR legal risk and in absenteeism that goes undetected. Four blocks that eat into the bottom line.

HR time

A 50-employee SME spends 6-10 hours/month reconciling balances, answering emails and maintaining the spreadsheet. At average Spanish labour cost, that's €1,500-€2,500/year in HR team time alone.

Balance errors

Miscalculated balances surfacing at year-end are days that get "gifted" or claimed late. A 2% error on the annual pool of a mid-size team is a non-trivial labour cost.

GDPR legal risk

A spreadsheet with leave reasons (hospitalisation, bereavement, lactation) and no access control breaches Regulation (EU) 2016/679. Sanctions from the Spanish Data Protection Agency (AEPD) for inadequate processing start at several thousand euros.

Undetected absenteeism

Without reporting, absenteeism patterns (Monday/Friday, area-specific peaks, repeat sick leave) take months to surface. A PTO app cross-checks vacations, leave and sick days in real time so you act before operations are hit.

Frequently asked questions

FAQ on migrating from Excel

Can I import my current Excel file? In what format?

Yes. Download the Dokuflex CSV migration template, copy your columns (employee, ID, hire date, collective agreement, total days, days taken, days pending) and upload it. We accept CSV (UTF-8) and XLSX. If your Excel has a different format, the onboarding team handles the column mapping in a 30-minute session.

Do I keep the history from previous years?

Yes. You can upload up to 4 years of history per employee (opening balance, days taken per year, reasons). It stays stored and searchable in the employee record, helping you meet the 4-year retention period required by the Spanish Labour Inspectorate.

Is it GDPR-compliant if I upload names and leave reasons?

Yes. Data is stored on EU infrastructure, encrypted in transit and at rest. Sensitive reasons (hospitalisation, bereavement) are restricted by role-based access: only HR and the employee's direct manager can see them. Dokuflex signs a standard DPA and aligns with Regulation (EU) 2016/679 (GDPR).

How much does it cost?

Free plan up to 10 employees, no credit card, no expiry. Beyond that, Pro and Business plans with per-employee/month pricing based on features (multi-step approvals, payroll integration with A3/Meta4/SAP, multi-site). Request a quote at contact or start free at dkf.dokuflex.com/register.

Does it work for employees without a corporate phone?

Yes. The app runs in the mobile browser with no installation, on the employee's personal device. If an employee has no smartphone, the manager or HR can submit the request on their behalf from the web, and the employee receives email confirmation. An optional BYOD policy lets you restrict access by corporate IP.

Is there a free plan for small SMEs?

Yes. Up to 10 employees is free forever, with unlimited requests, team calendar, mobile web app and basic automated balances. No credit card required. It's the fastest way to retire the Excel vacation tracker at no cost or commitment.
