5 reasons

Why Spanish SMBs pick Dokuflex over Factorial

It's not just price. It's functional scope, AEAT compliance and the ability to configure flows without custom development.

One platform, not four

Dokuflex replaces Factorial + a Bills module + an electronic signature provider + a document manager + an iPaaS. One invoice, one SSO, one support team.

Real BPM with BPMN 2.0

Model custom flows (multi-department onboarding, 3-level purchase approvals, regulatory case files) with BPMN 2.0 without paying for extra modules or hiring consulting. Factorial's workflows are limited to HR.

AEAT certification

Doku4Invoices is certified by the Spanish tax authority (AEAT) for certified digitization under Order EHA/962/2007. Your paper invoices become legally equivalent to the original. Factorial Bills does not hold this certification.

VERI*FACTU adapter ready

VERI*FACTU is mandatory from 1 January 2027 (corporate tax) and 1 July 2027 (self-employed and SMBs) under RD 1007/2023 and Order HAC/1177/2024. Dokuflex already issues and stores records following the official schema.

Free Plan up to 10 employees

Start with no credit card, no commitment and no cost up to 10 employees. After that, EUR 2/employee/month with BPM, signature and document manager included. Factorial charges every module separately from the first employee.

Spanish-speaking support, Spain focus

Implementation, support and product teams in Spanish (and English). Collective bargaining agreements, regional calendars, Law 6/2024 and AEAT regulations baked in. No tickets that take days.

Commercial honesty

When to choose Factorial over Dokuflex

Dokuflex isn't always the best option. These are the two scenarios where Factorial will fit you better.

1

Your focus is 100% pure HR

If you only need very elaborate onboarding/offboarding, performance reviews, climate surveys, OKRs and a broad marketplace of HR-centric integrations, Factorial has very mature HR modules. And if you already have separate tools for BPM, electronic signature and invoice capture, you don't need Dokuflex's unified suite.

2

SMB with <20 employees and no fiscal complexity

If your company has fewer than 20 employees, invoices low volumes, doesn't operate in regulated sectors and you simply want "your first HR cloud" quickly, Factorial is a recognized brand with a swift onboarding. For a small SMB not yet thinking about VERI*FACTU, BPM or certified digitization, its proposition is sufficient.

Frequently asked

Dokuflex vs Factorial: what we get asked the most

Why is Factorial better known than Dokuflex?

Factorial launched in 2016 with heavy B2B marketing investment and positioned itself as the default HR cloud for Spanish SMBs. Dokuflex comes from a different origin: ECM and low-code BPM for banking, healthcare and legal sectors for more than 15 years, with clients such as CaixaBank, Banco Sabadell, Hospital Sant Pau and Garrigues. Factorial has higher brand awareness, but Dokuflex covers more critical processes per employee.

Can I migrate employees, balances, calendar and policies?

Yes. We export master data from Factorial (employees, contracts, vacation balances, work calendars and approval policies) via CSV or API and import them into Dokuflex preserving history. Guided migration is completed in 5-7 business days and keeps the 4-year retention required by Spanish RD-ley 8/2019 for time tracking.

Will I keep the A3innuva Payroll integration?

Yes. Dokuflex has a native connector with A3innuva Nomina (Wolters Kluwer) and also with Meta4 PeopleNet, SAP SuccessFactors, Sage and Cegid. Sync of new hires, terminations, variable concepts and overtime is bidirectional and is preserved after migration, with no need to change the flow your tax advisory already uses.

What's the difference between Factorial Bills and Dokuflex Invoices?

Factorial Bills is an additional Factorial module focused on supplier invoice capture with OCR. Dokuflex Invoices (Doku4Invoices) is certified by the Spanish tax authority (AEAT) for certified digitization under Order EHA/962/2007 and includes a VERI*FACTU adapter, AI-powered IDP, bank reconciliation and connectors with A3, Sage, SAP and Microsoft Business Central.

Does Dokuflex comply with Spanish Law 6/2024 on paid leave like Factorial?

Yes. Dokuflex handles paid leave from the Workers' Statute and the leave introduced by Law 6/2024 (4 days/year of family force majeure, adjusted hospitalization of relatives, unavoidable duty). Policies are configured without development and adapt to each company's collective bargaining agreement. Indicative information: for specific cases, consult your labor advisor.

Is there a client case migrated from Factorial to Dokuflex?

Yes. We have Spanish SMBs that migrated from Factorial when they needed to add low-code BPM, eIDAS electronic signature and AI document management on a single platform. On request, our sales team shares specific cases during the demo, including time-saved metrics and tool consolidation numbers.
